Delegation Registration Training for Athletes and Artists(Front End)

JCC Maccabi Games and ArtsFest

Registration • Everyone that participates in the JCC Maccabi Games and ArtsFest

must register online, including: – Athletes and Artists – Coaches/Chaperones – Delegation Heads – Artists In Residence – Host Family/Volunteers – Spectators – VIPs – Local JCC Staff

What browsers can you use to register? • Chrome – any version

• Firefox – any version

• Internet Explorer 9 or above

• Safari – there can be issues if your cookies are on, if Safari doesn’t work, use a different browser

• Internet Explorer does not work with the back end of

the system

• Registration is supported by all mobile devices using Chrome

Registration Home Page

Registering

• The account name is how you will see your user groupings.

• All registrants under one account will appear under this account name.

• The account name should be the family name followed by the delegation name.

• The email address must be an email address that can receive emails from the system.

• When emails are sent to accounts, this is the email that will receive all notices.

Logging In

You will log in with the email address and password you initially registered with.

Forgot Password?

If you forget your password, you will need to provide the email address you initially registered with. JCC Association cannot provide your password to you. Only RegPack has access to that information. If you forget your email, JCC Association can give that to you.

This is your overall account name. By clicking on your account name at any time you will be redirected to your Dashboard.

Delegation to Host City Logic

• Each delegation is tied to the host community that they are attending.

• If a delegation is attending more than one host community, they are given options and a warning to choose at least one host city.

• This is the very first thing you do in the registration because it effects many other questions such as sport, art, and volunteer options.

Age Determines Registration

The registrations that are available to you are determined by the host community you chose and the age of the registrant.

Contact Information

• This is the email address of the user you are registering (most likely the athlete/artist) • If this is your first registration, it might be the same email address you used to register

your account on the home page. • If you are registering someone else and they have their own email address, you should

use that email address. • The overall account email address is the main contact, but each registrant needs an

email address associated to their specific registration.

Go to Next Step

• If you can’t finish a page of the registration, you can always click “skip this step”

• You will need to go back and complete each page before your registration can be complete

• Choosing “skip this step” is a good option if you want to complete most of the registration but can’t make it absolutely complete in one sitting.

• Clicking on “skip this step” will bring you to the next page that you need to complete.

Completion Status

• This is your progress bar. As you move through the registration and complete more pages, more of the bar will be filled up.

• Eventually when your application is complete, it will be green.

• You can also use this status bar to jump to certain pages rather than scrolling through the entire registration.

• The percentage tells you how much of the registration you have completed.

Emergency Contact

• Emergency contact for the athlete or artist must be someone other than the parent or guardian and they must be over age 18.

Parent/Guardian Information • It is required that you

enter at least 1 parent/guardian.

• There is an option to add a second parent/guardian.

• There is an option to auto-fill the parent/guardian’s address with the athlete or artist’s address to streamline the process.

Insurance Info

• While you won’t be uploading a copy of the athlete or artist’s insurance card in the registration system this year, you will need to input the information into the system.

Medical Information • You will need access to the following information in order to fill out the

medical information section of the registration: • Doctor and Dentist name and phone number • Medical condition detail (like asthma, diabetes, seizure information) • If the participant has a medical alert bracelet • Previous operations or serious injuries (name, date, details, lingering

issues) • Immunization info • Allergy information (type of allergy, severity, medical actions taken

when allergy occurs) • Prescription information (medicine name, dosage, time taken) • Any other information related medical/behavioral/psychological

conditions • Over-the-counter medicine allowances

Host Family Requests

Roommate Requests

• Athletes and Artists can request up to 3 other participants to house with.

• Roommate requests are not guaranteed

• Roommate requests must be confirmed by the DH on the confirmation page on the back end of the system.

Heads Up Concussion Form

• New this year, all parents will be asked to sign via e-signature the CDC’s Heads Up Concussion Awareness form.

Athlete General Info • T-shirt Size • Warm Up Size (top) • Warm Up Size (bottom) • Uniform Top size • Uniform Bottom Size • Specific Jewish questions like synagogue and youth group affiliation

Artist General Info • T-shirt Size • Warm Up Size (top) • Warm Up Size (bottom) • Specific Jewish questions like synagogue and youth group affiliation

Athlete Sport Questions

• Host City, age, and gender all determine the sport options an athlete is given.

• Only the sports that are offered in Boca Raton will show up since Boca Raton is the host city that is selected.

• An Age Bracket/Gender Group will drop down after a sport is selected.

• This changes based on the birthdate entered on the basic info form.

• If there are additional sport related questions, they will be after the age bracket/gender group question.

Artist Specialty Questions

• Artists who register must have already applied and been accepted into ArtsFest (with an audition).

• The art specialty the artist selects in the registration MUST BE THE SAME art specialty they applied for and were accepted into.

Photo Upload

• Once you select that you are an athlete or an artist, you will need to upload a picture. The picture upload requirement will appear from any registration that requires a picture (athlete, artist, coach/chaperone, delegation head)

• Keep in mind – the picture file size is 2MB • The picture is on the last form of the registration so people can move through as

many pages as possible in one sitting without the photo upload holding them up.

Coaches and DHs – Coach/DH must complete Background Check

through the front end of registration. They must click on the widget in their registration

• If they haven’t yet completed their background check you will see the first image.

• If they have already completed and passed their background check they will see the second image.

Dashboard

• This is where you will see all of the registrations that are associated to each account.

• By hovering over the status bar, you can see all of the forms associated to that registration. If the forms are green, they are complete, if they are red, there are still required questions that need to be answered.
