Tips & Tricks – Personalizing SAP

Settings in SAP can be personalized to individual work needs. These settings are sometimes saved initially by the user or saved automatically over the course of working in SAP. Situations can occur when the personalization is defaulted to minimal global settings, such as in a reorganization or for new employees. To help the user with saving the more commonly used personal settings, instructions are included below for the following:

Add Document Type Field to FB** and FV** Enter Transactions Add Posting Period Field to FB** and FV** Enter Transactions Allow Special Posting Periods to be Entered in FB50/FV50 Transactions Set +/- Signs for D/C Indicator in FB50/FV50 Transactions Add Reference Field to FB02 or FB03 Initial Screen Change # of Pages Displayed on Spool Permanently Saving a User Default Layout to FBL*N or FAGLL03 Saving a User Default Layout in FB03 – Classic Saving a User Default Layout in FB03 – Data Entry View (ALV view)

Add Document Type Field to FB** and FV** Enter Transactions

1. Click on Editing options in the ribbon at the top of the transaction screen below:

2. Change the Doc.type option from ‘Document type hidden’ to ‘Entry with short name’. Compare the following two screenshots:

3. Next, click the Save icon at the top of the screen and exit the Editing screen. The document type field should be available for input.

This one-time change will take effect with any FB** or FV** transaction you may use.

Add Posting Period Field to FB** and FV** Enter Transactions

1. On the same Editing options screen seen above, select Display periods.

2. Next click the Save icon at the top of the screen and exit the Editing screen. The posting period field should be visible.

Allow Special Posting Periods to be Entered in FB50/FV50 Transactions

1. On the same Editing options screen seen above, select Posting in special periods possible. Select Display periods, if not already selected.

2. Next click the Save icon at the top of the screen and exit the Editing screen. The posting period field should be visible and not shaded (editable). This will allow the entry of special periods 13 through 16.

Set +/- Signs for D/C Indicator in FB50/FV50 Transactions

1. On the same Editing options screen seen above, select D/C indicator as +/- sign.

2. Next click the Save icon at the top of the screen and exit the Editing screen. The function to enter +/- sign instead of Debit or Credit will be available to use.

For example, when -25 is entered in the amount column:

The D/C column will be populated with Credit and the – sign goes away in the amount column.

Add Reference Field to FB02 or FB03 Initial Screen

1. Click on Editing options in the ribbon at the top of the transaction screen below:

2. Select Reference no. under Display documents using…

3. Next click the Save icon at the top of the screen and exit the Editing screen. The Reference no. field should be available for use. You should be able to call up documents using just the reference document number in this field.

Change # of Pages Displayed on Spool Permanently

1. From within any graphical display of a spool, click on Settings… from the ribbon above the report.

2. Change the To page number to the desired number of pages to be displayed. To keep this setting permanent until the next time it is changed, select Permanently even betw. logons. Compare the two screenshots below:

3. Next click the Save icon at the bottom of the screen. You may get an informational message

(see below). Click continue .

4. The report being displayed will show the number of pages that you chose. The next time you log into SAP, this setting should still be in place.

Saving a User Default Layout to FBL*N or FAGLL03

1. Run FBL*N for any criteria. Arrange the layout screen to your specifications.

2. Once the layout is the way you need it, click on Save Layout .3. At this point, you will be creating a user-specific layout. Compare the two screenshots below. The

check the User-specific checkbox. If any subobjects are checked, leave them checked. Note: nobody will see your new layout name.

this column is the layout that will be used every time you run the same FBL*N, until you select a new layout as the default.

7. Be sure to save the selection by clicking Save at the top of the screen.

Saving a User Default Layout in FB03 – Classic

1. View document in FB03 as usual. Go to Document>Print Preview.

2. Arrange the layout screen to your specifications by using Change Current Layout or select a

Standard Layout with the Choose button .

3. When done, click on the Save button . 4. At this point, you will be creating a user-specific layout. To create a user-specific layout,

overwrite whatever is currently in the Layout name. Do not precede the new name with the ‘/’ found on standard layouts. Check the User-specific checkbox. Note: nobody will see your new layout name.

5. Click on the Save button at bottom of box.6. From the layout screen, select Settings>Layout>Administration. The User layout screen should

appear:

7. To set your layout as your default layout, click in the Default Setting column. A checkmark will appear. 1. View document in FB03 as usual. Remain in Data Entry View.2. Arrange the layout screen to your specifications by using Change Layout or select a Standard

3. Alternatively, you can click and drag columns on the screen using the left click, or hide and show columns by using the right click to bring up the formatting menu.

4. Don’t forget to utilize the features on the Display tab in Change Layout.

5. When done, click on Save Layout.

6. At this point, you will be creating a user-specific layout. To create a user-specific layout, overwrite whatever is currently in the Layout name. Do not precede the new name with the ‘/’ found on standard layouts. Check the User-specific and the Default Setting checkboxes. Note: nobody will see your new layout name.

7. Click on the Continue button at bottom of box.8. To check the default setting of your user layouts, select Manage Layouts. The User layout screen

should appear.

9. The layout that was just saved with Default Setting checked should show a checkmark in that column. To change the default layout, simply click in the Default Setting column on the preferred layout. The selected layout will be used every time you go into FB03 – Data Entry View, until you select a new layout as the default.

10. Be sure to save the selection by clicking Save at the top of the screen.
