Storage Needs Assessment
2
Increased Need for Storage at Jefferson
On premise storage requires resources, maintenance, hardware, data center space, both operational and capital funding each year. Researchers and faculty expressed a strong desire to easily access data while “off campus”.
Matrix evaluation of multiple solutions (compare and contrast)
• Dropbox
• Box.com
• OneDrive
Storage Needs Survey of the Research and Academic Community

Two Data Storage and Usage Surveys
• JCoR Subcommittee Storage Needs Survey
• Office of Research Conduct and Compliance – survey covering researchers and faculty
• Approximately 80% of the respondents would be serviced well by a cloud storage solution
• Approximately 20% of the respondents would need a different solution • Large data files• Research using confocal, super-resolution or time-lapse microscopy with new microscopes• Large video files with high resolution
Cloud Storage Decision and POC
4
Box.com
• Provides easy workflow process to load, access and share files• Is fairly cost effective based on competitor costs• Box.com has an existing footprint at Jefferson Center City and East Falls
• POC – Dr. Sue Menko• Years of files/data stored on drives in the lab• Box.com worked for smaller files *(<5GB)• Many larger files cannot be easly split (second tool to split and reconstitute files)
• Complicated process• On premise solution for larger files with Comvault backup
*5GB file maximum upload has been increased to 15GB file maximum
Where are We Today and What’s Next?
5
Where we are Today:
• BAA is in the final stages with Legal Counsel
• Contract and rate negotiations are in the final stages with Andrea Mancaruso, Jeff Cepull and Jefferson Legal Counsel (target completion week of 9/24)
• Academic Pricing vs. Healthcare Pricing• Tier 2 enterprise academic license for up to 25k licenses (non-phi)
• Jefferson Center City (600 accounts) and East Fall’s (Tier 1 ~10k account contract) current financial outlay to Box.com
• Clinical pricing will be higher per capita and we are working on that – will try to get a credit to cover the clinical group
What’s Next:
• Sign contract – work with Dr. Menko, Dr. Rigoutsos and Jeff Cepull to create rollout plan
