INTRODUCTION
This document contains information for substitutes in the Olathe Public Schools regarding access and use of classroom
technology components and online resources to augment teacher lesson plans. Please familiarize yourself with the
contents of each section of the materials provided so as to be fully-prepared to utilize these resources upon
substituting in our district. Questions may be directed to the Substitute Services department in the Human Resources
Division at: 913.780.8268.
LOGINS
You will use the following protocol for logging in to the district network and other resources.
NETWORK LOGIN & PASSWORD
Day to Day Substitutes:
Username is: first initial, middle initial and last name (lower-case)
Initial PW for the year is: Olathe15 (capital “O”) (You’ll be asked to change the password upon login.)
Login provides access to Internet & Desktop Applications only – no email address and no access to network drives
Long-Term Substitutes:
Username is: First initial, last name and school abbreviation (lower-case)
Initial PW is: Olathe15 (capital “O”) (You’ll be asked to change the password upon login.)
Login provides email access & access to all teacher network drives
TEACHERVUE: ATTENDANCE / LUNCH COUNT & GRADE BOOK LOGIN & PASSWORD
The Olathe Public Schools student information system provides substitute access to the Synergy TeacherVUE web
application (Daily & Long-Term subs) and to the Synergy Grade Book (Long-Term subs). Login information is provided
below. Use of the system is detailed in the Student Information System area of this guide.
Day to Day Substitutes:
Username: You will not be asked for a username when entering the TeacherVUE website.
PW: The PW for the website will be provided via the substitute TeacherVUE document - upon arrival at the school.
Login provides access only to teacher lesson plans (if left), attendance and lunch count (elementary)
Long-Term Substitutes:
Username is: First initial, last name and school abbreviation
PW is your OPS Network Password (created upon initial access to the system)
Login provides access to teacher lesson plans, attendance and lunch count (elementary)
Login also provides access to the teacher’s gradebook.

SUBFINDER & TEACHER-PROVIDED INFORMATION
The SubFinder system will continue to be used to access daily job information.
Information left on SubFinder by the teacher includes:
multiple school assignments for itinerant teachers,
any special events or suggested attire for the day; and,
information to assist substitutes in making decisions regarding accepting a job and information to assist a
substitute with being adequately prepared for the day.
SUBFINDER – ACCESS AND LOGIN
SubFinder is accessed from the Olathe Public Schools WWW website at: www.olatheschools.com
Select “Featured” from the Quick Links section.
Select “SubFinder” from the list of links.
Login to the SubFinder system to accept a job - and view any pertinent information for the job.

TEACHERVUE & TEACHER-PROVIDED INFORMATION
The Olathe Public Schools TeacherVUE system provides substitute access to Attendance, Lunch Count and Lesson
Plans left by the teacher. Long-Term subs will also have access to the teacher’s grade book.
TEACHERVUE – ACCESS AND LOGIN
Teachers may leave digital lesson plans for a substitute teacher in TeacherVUE.
The substitute will login to TeacherVUE to obtain the teacher’s lesson plans for the day/courses.
The substitute logs on to the district network with their OPS network username and password
The substitute opens a Web Browser (IE) and ensures Web Browser settings are correct (see Appendix A).
Failure to modify the Internet Explore (IE) settings will prevent access to the TeacherVUE site.
The substitute accesses TeacherVUE at: https://teachervue.olatheschools.com
Do NOT enter a Login Name or Password at this screen, simply click Substitute Teacher Login.
The building secretary will provide the substitute with a document with the following information:
Teacher Name
Course Information
Room Number(s)
Daily Unique Password for the Teacher’s Substitute Lesson Information (entered on the screen below)
The substitute will select the School Name for which they are substitute teaching.
They will also select the Teacher Name for whom they are substituting.

They will enter the unique daily sub password on the document provided by the school building secretary.
TeacherVUE opens and displays any district or building announcements.
The substitute will select the course/class for which they are teaching to view the teacher’s instructions for that
class, if necessary.
The substitute is also provided access to Attendance at all grade levels - as well as Lunch Count at the elementary
level.
The substitute will choose Substitute Lesson Plans from the bottom right corner of the TeacherVUE home screen to
access lesson plans left by the teacher.
Click on the link to display all substitute information for that specific class.
Change Classes as necessary from the Home Menu > Change Classes command.
Documents may also be attached for
substitute access in this location.
Lesson Plans may be printed from this
location.

TAKING ATTENDANCE
When you log into TeacherVUE, the system alerts you need to take attendance by highlighting the Attendance button
in yellow. After attendance is taken, the highlighting disappears and a green checkmark displays.
TAKING ATTENDANCE BY CHART
Click Attendance. The attendance options display.
Click Chart.
The Taking Attendance screen displays.
Click - and click again - on a student’s photo to toggle through attendance reasons. Only mark students who are absent or tardy. All unmarked students are considered present.
The color-coded and abbreviated reason code displays.
Click Save. You return to the TeacherVUE Home screen and the Attendance button displays a green checkmark indicating that attendance has been taken today for this class.

TAKING ATTENDANCE BY LIST
Click Attendance. The attendance options display.
Click List. The Taking Attendance screen displays.
Select the appropriate date.
Click on the student’s row under the correct date to toggle through attendance reasons. Only mark students who are absent or tardy. All unmarked students are considered present. The color-coded and abbreviated reason code displays.
Click Save & Return.
You return to the TeacherVUE Home screen and the Attendance button displays a green checkmark indicating that attendance has been taken today.
You must take attendance even if no students are absent!
Note: Taking attendance by list ensures all students are displaying when taking attendance. Taking
attendance from chart view will not display any students who have not yet been seated in the chart.
Note: You may add, modify or delete an absence or a tardy from a student’s record in TeacherVUE until the
time the office has applied a REASON CODE to the mark. Once a reason code has been applied for that
student, you cannot change it. You may enter a class and add an “A” or a “T” to additional students later in
the day, as long as the students do not have a reason code already entered. You cannot go back to a prior day
and enter an absence or a tardy.
Please verify with administration and office personnel any building-level protocol.

TAKING LUNCH & MILK/DRINK COUNT (ELEMENTARY ONLY)
When you log into TeacherVUE, the system alerts you need to take lunch count by highlighting the Lunch Counts
button in yellow.
Select the desired numbers for each option for meal or drink type. Click Save.
After lunch/drink count is taken, the highlighting disappears and a green checkmark displays.
This screen may change from time to time as new features or processes are determined to be necessary.
Note: If a student is choosing both a meal and an extra meal, (Example: Meal A and Extra A),
select only Extra A.
Note: For students in Full Day Kindergarten, select only the meal in TeacherVUE, send the afternoon
drink/snack count down to the office via manual form.
Check with the office for specific protocol for individual buildings.

ONLINE CURRICULAR RESOURCES
The Olathe Public Schools Board-Approved curriculum and resources include access to multiple online resources as
outlined below. Please feel free to contact the Teaching & Learning Division offices at the Instructional Resource
Building (913.780.7006) with questions and/or difficulties regarding access and use of these resources.
Math, Language Arts, Science and Social Studies online resources are described on the following pages of this
manual.

To get started in Think Central, go to: www-k6.thinkcentral.com
Select your state, district, and school from the dropdown menus. Enter the user name and password.

Under the Resource section, click on your grade level. Then click on Journeys Teacher Gateway Gr.___, 2014.
The Journeys Teacher Gateway opens in a new window. Click on Resources. To get the resources that you will need for the lesson, click on Journeys Focus Wall. (Additional Resources are available on this page. The gray scroll bar is in the center to move down the page and click on the resource you want.)

Click on the Lessons number you are working with.
The Focus Wall will open. Each item on the Focus Wall is linked to that electronic resource. If you click on the picture of the text selection, you can choose which resource you would like.

Click on the resource you would like and it will open for you to use. If you click on the Student Book, you can open the electronic student book to that page of the lesson.
With the Student Book projected, you can identify the Essential question, discuss the text, and have students show the evidence for their response.

Instructions for Middle School Language Arts On-Line Resource for Collections:
To get started in HMH Collections Go to: http://my.hrw.com Enter the user name and password provided by teacher.
You will now have access to the Dashboard. Using the drop down menu, select grade level needed.

Once you have clicked on a grade level, you will then see a menu of resources for the textbook including teacher resources, writing, speaking and listening, and the online textbook.

IPADS IN THE ELEMENTARY CLASSROOM
The Olathe Public Schools elementary and early childhood classrooms are equipped with student iPads at a ratio of
1 iPad for every 2 students as part of the OPS Elementary iTeach/iLearn initiative. Instructions for use of the iPad
will be provided by the classroom teacher, if applicable and a part of a given curricular lesson. General guidelines
for use and care will be provided by each classroom teacher.
STUDENT IPADS & CHARGING CUBE
Each Pre-K through Grade 5 classroom teacher will have a charging “cube” as shown below in the classroom used to
securely store and charge the iPads.
Each cube holds 10 student iPads.
If a teacher has more than 20 students, additional iPads will be charging outside of the cube.
Upon leaving the room each day after substituting, ensure every iPad is accounted for.
Report any missing iPads immediately to the building administrator.
ITEACH/ILEARN IPAD MANUAL AND INSTALLED APPS
An ancillary iTeach/iLearn iPad Manual will be provided by the classroom teacher and accessible to all substitutes
upon arrival at school.
Each student iPad will have multiple APPs installed, placed in curricular/subject folders.
Examples are shown below of both the Home screen and the Subject Level folders on the APPs on the secondary
screen. Teachers will leave explicit instructions as to use of the iPads/APPs for a substitute.
