Reserving Rooms and Equipment with Current Solutions is Difficult
People lacking great technology will inevitably make mistakes. Despite adopting some
of the most forefront technologies, schools and businesses in Utah and around the nation
still use outdated methods of managing room and equipment reservations. These
“solutions,” which are often no more than repurposed freeware, result in more frustration
and problems than they solve.
We have created an all-in-one software solution for managing resource reservations.
Entitled AptiBook, our solution gives users the ability to search for and reserve rooms,
equipment, and other resources within their building through a clean web interface.
AptiBook is designed around a hierarchal approval system, ensuring that reservations are
seen and signed off by all the correct departments.
AptiBook Makes It Easy to Reserve Rooms, Equipment, and More
The current solutions on the market are old, unorganized, and trying to solve too
many problems. Schools and businesses in Utah are frustrated with their current resource
reservation systems, finding them slow and inconvenient.
We are using the most recent advances in web application technologies to create
AptiBook. This results in software that not only looks great, but is also fast and reliable. The
open-source technologies used in AptiBook are robust, with large development
communities constantly ensuring stability.

AptiBook is very user friendly. Users can search for the resources they need, make
reservations for those resources, and keep track of upcoming reservations without ever
leaving the application. Reservations may go through an approval process involving all the
relevant departments, ensuring that everyone is on the same page before the reservation is
approved.
Schools and Businesses Show Great Interest in AptiBook
AptiBook was created directly due to the demands of schools. We were approached as
students of JATC North by West Jordan High School to create a new solution specifically
because they were upset with their current software. We have attracted the interest of
seven different schools and businesses since the conception of AptiBook. These include:
• The Lassonde Studios University of Utah
• JATC North Jordan School District
• Bingham High School Jordan School District
• West Jordan High School Jordan School District
• Entheos Academy (Charter School)
• Vista Elementary Granite School District
• AutoPoint (Business)
We are planning trials runs with The Lassonde Studios, JATC North, and AutoPoint to
collect statistics about how they use AptiBook, how the servers handle the load, and which
parts of AptiBook can be improved.
We have designed AptiBook knowing that schools would be our largest market, and
have optimized the application as such, allowing for reserving equipment as well as rooms.
Most of our competitors only allow for room reservations, yet schools need to be able to
reserve equipment, vehicles, and more.
Early alpha testing of AptiBook within schools has shown great market validation. Of
the users who have tested AptiBook, all have shared positive feedback, and many have
committed to further testing of AptiBook within their organizations.

The Competitors’ Software is Outdated and Difficult to Use
There are a fair number of competitors for AptiBook, but very few solutions are as
intuitive as ours. Some of our top competitors include:
• Room Booking System by School Cloud Systems
• Spaces by Evanced
• Roving by RoviSys
• YaRooms by Ynteractive Ltd.
Most our competitors are focused only upon room reservations, with the ability to
reserve resources appearing as an afterthought. While YArooms has the most relatable
features to AptiBook, even they did not include the ability to solely reserve resources,
advising users to “repurpose” rooms as resources if they need that functionality.1 Using
AptiBook, our users can find and reserve anything in 30 seconds or less; a claim that many
of our competitors cannot make due to their cluttered interfaces.
AptiBook Exists Within an Untapped Market
There is a noticeable lack of well-designed and easy to use resource reservation
software in the market today. The school administrators who have seen AptiBook in its
early stages have shown instant desire. Since many of our competitors’ solutions were
created during a time in which software did not scale well, there exists a void in the market
which we can fill.
AptiBook’s total available market within the USA consists of over 98,270 public
schools2 as of 2014, and an innumerable amount of businesses. Currently, we are targeting
schools within Utah, of which there are at least 899 in 2016.3 AptiBook’s most attainable
schools are those within the Jordan School District, due to our existing connections with the
administrators of those schools, as well as their desire to support us as former students.

From its Scalability, AptiBook Can Generate Large Profits
AptiBook was designed to be scalable. The costs associated with scaling AptiBook to
accommodate large numbers of subscriptions are small in comparison to the revenue that
can be generated.

The chart to the right
shows that for 120 subscriptions
each valued at $49.99 / month ($600 / year), the expected revenue is $72,000 per year,
while costs are only about $15,900 per year. In general, the expected revenue increases
much quicker than the costs associated with hosting the subscriptions.
We anticipate that AptiBook will be sold in three main tiers valued around the $600
per year mark. For the organizations which participate in the beta test, we will offer
AptiBook at no charge for a limited time, and then with a lifetime discount. The purpose of
this is to study the usage of AptiBook, to create more accurate predictions of our revenue
models, and to optimize our application for the expected usage.
